Limiting How Far Out You Can Reserve Serial Inventory
By default, there is no limit on the number of days in advance staff can reserve serial inventory in EPASS. However, this flexibility may cause problems if you are currently supply-constrained and customers are demanding product that is currently "on reserve". You can set a limit on how far in advance staff can reserve serial inventory by editing the settings of your Invoice Types.
To Set a Limit on Reserving Serial Inventory in Advance
-
Go to Tools > System Maintenance.
-
In the System Maintenance Tables, select Invoice Type, and then click Open.
-
Select an Invoice Type from the list, and then click Edit.
-
In the Edit Invoice Type window, click the Settings 3 tab.
-
Select the Cannot Reserve COD Invoice with Balance checkbox, and then enter the maximum number of days in advance that staff can reserve serial inventory.
If you want to limit staff so they can only reserve serial inventory up to 15 days in advance, enter 15 in the text field.
-
Click OK.
-
Repeat steps 2-6 for each Invoice type (if required). Once you are finished, close the Invoice Type and System Maintenance windows.
Staff are now limited to how far out they can reserve serial inventory for that Invoice Type.
Examples
The following are the results of specific scenarios in EPASS when staff try to reserve serial inventory beyond the set "max days" limit.
Modify the existing invoice by unreserving and changing the schedule date, and then trying to reserve the serial again
-
A serial is unreserved on the invoice and the invoice Job Status is changed to UNCONFIRMED.
-
Schedule Date changed to a future date that exceeds the "max days" limit.
-
When the user tries to reserve the serial again, they are prevented and a notification displays on screen.
Use Auto Reserve to reserve a serial beyond the "max days" limit
-
A serial is unreserved on the invoice, and the Schedule Date is changed to a future date that exceeds the "max days" limit.
-
The user attempts to use the Auto Reserve utility to reserve the serial, but is unable to and a "no data" dialog appears on screen.
